A printer for clothing labels must be a thermal transfer machine that works with textile tapes (satin, taffeta, polyester) and wash-resistant textile ribbons. Ordinary label printers for paper are not suitable. Your own printer makes sense if you need labels with sizes and batches every day; for most small brands, ordering from a manufacturer is easier and more predictable.

Label printer – what it must be able to do
Textile tape behaves differently from a paper label: it is soft, stretchy and not stuck to a liner. That is why the printer must have:
- Tape guides that keep it straight and centred during printing.
- Adjustable head pressure and temperature for different tapes and ribbons.
- A cutter – hot or ultrasonic, so the ends do not fray. A cold knife leaves exposed threads.
- Compatibility with textile ribbons of a suitable width.
- A resolution sufficient for small care symbols and barcodes.
Machines that meet these requirements are specialised equipment. They cost considerably more than an office label printer, and on top of that come consumables and training time.
Types of label printing machines
"Label printing machine" covers quite different devices, so it is good to know exactly what you are looking for:
- Desktop thermal transfer printers – compact, for low to medium volumes. Suitable for ateliers, but not all models work well with textile tape.
- Industrial thermal transfer machines for textiles – with built-in cutting, sometimes folding too, for continuous operation in a factory.
- Flexo and screen printing lines – industrial equipment for large runs, which only makes sense for specialised label manufacturers.
- Sticker and shipping label printers – usually direct thermal; useful for packaging and the warehouse, but not for labels inside the garment.
What else you need besides the machine
Consumables
- Rolls of textile tape in several widths and colours.
- Textile ribbons compatible with the tape.
- Spare heads or blades – the print head wears out over time.
Label printing software
The software is as important as the machine. You need software that allows templates with fixed and variable parts, data import from a spreadsheet (Excel or CSV), barcode generation and automatic numbering. Some printer manufacturers offer their own software, and there are also universal label design solutions. Check that the software supports the character sets you need (for example Cyrillic) and the ISO 3758 care symbols – these are usually used as a special font.
Knowledge and time
Someone in the team has to prepare the templates, change the rolls, set the temperature for each tape and check quality. With a small volume this is an occasional task, but it requires experience, otherwise the first batches end up as rejects.

When your own printer pays off
- You have your own garment production with a constant flow of orders.
- Every day you need labels with different sizes, batches or customer orders.
- You work to order for end customers (personalised products) and cannot wait for delivery.
- You have an employee who will be responsible for the equipment.
When it is wiser to order
- Collections come out by season and labels are ordered a few times a year.
- You want a screen-printed satin brand label or a woven label, which cannot be made on a desktop printer.
- You do not have time to test tapes and ribbons and prefer a ready, proven result.
- The compositions and translations on the care and composition labels need to be checked and formatted professionally.
A mixed approach
Some garment manufacturers combine both approaches. The brand label and the care label, which do not change often, are ordered in large quantities from a manufacturer. Small labels with a size or batch number are printed in-house. This way the investment in equipment is smaller, and the main labels have consistent quality.
How to calculate which pays off
Do a simple calculation for one year. On one side, put the cost of the machine (spread over the years you will use it), consumables, software, servicing and the employee's working time, including rejects during set-up. On the other side, put the value of the ordered labels for the same volume. Add non-financial factors to the calculation too: how quickly you need the labels and how important the quality of the visible brand label is.
