How to Order Clothing Labels – Step by Step
A guide from the manufacturer to ordering logo labels: which files to send, what information we need and how an order moves from enquiry to delivery.
Ordering clothing labels with your logo is easy when you know from the start what information is needed. On this page you will find the steps every order at Polkom goes through, the files to prepare and the details that help us send you an accurate quote first time. As a label manufacturer, we manage the project from design to delivery.
The ordering steps
1. Enquiry with your logo
Send us your logo, preferably in vector format, and a short description of the label you have in mind. If you have not yet decided which type of label you need, describe the item – we will suggest a suitable option.
2. Choosing type, material and size
Together we define the label type – woven, printed, leather, silicone or hang tag – along with the material, size, colours and the folding and attachment method.
3. Digital mock-up and quote
We prepare a full-size mock-up of the label and a quote. At this stage you check the text, proportions and colours and make corrections if needed.
4. Physical sample if needed
For a new design, a complex logo, a specific colour or a new technique, we recommend a physical sample. That way you can see the label on the actual item before we start the run.
5. Production
Once you approve the mock-up or the sample, the labels go into production according to the approved specimen.
6. Delivery
The finished labels are packed by article and size and delivered to your address in Bulgaria or the European Union. If you are ordering other accessories too, we can send them in one shipment.
Which files to send
- Vector files – AI, PDF, SVG or EPS; this is the best option, because lines stay sharp at any size.
- Text as outlines – convert fonts to outlines or send the fonts themselves.
- Colours – give Pantone codes or send a sample of the fabric the label should match.
- Raster images – PNG or JPG in the highest resolution available if you have no vector file. We will advise you on how to prepare the file.
- Photo or sample – if you want us to reproduce an existing label, send a photo with a ruler next to it or a physical sample.
What information to provide
| Details | Example |
|---|---|
| Label type | woven brand label, wash care label, size label |
| Size | width and length in mm, visible part after folding |
| Material | damask, satin, taffeta, cotton, faux or genuine leather |
| Colours | background and logo, Pantone codes |
| Folding and attachment | flat, centre fold, end fold, mitre fold, heat-seal adhesive |
| Quantity | total and by variant or size |
| Item | T-shirts, jeans, lingerie, childrenswear, bags, footwear, furniture |
| Deadline | the date you want to receive the labels |
For consumer information labels, please also send the texts: the fibre composition for the composition label, the symbols for the wash care label and the size range for the size labels. If you will sell in several countries, list the languages.
Repeat orders and new variants
After the first order, the approved design, material, colours and folding are kept on record as a reference. For a repeat order, simply give us the article or send a photo of the label and the new quantity. If you want to add a new size, a new colour or new text – for example a different composition or a new language on the wash care label – we send a new mock-up for the changed part only. That way the next runs match the previous ones and you do not have to start the process again. If you are planning collections for several seasons, tell us in advance – we will help you set up the labels so they are easy to extend.
Quantities and lead times
Minimum quantities and lead times depend on the label type, the material, the number of colours and whether a physical sample is needed. That is why we do not publish fixed figures – they are available on request and we give them to you with the quote. If you have a fixed launch date for the collection, mention it in your very first enquiry. General information on sizes and pack units can also be found on our Quantities and sizes page.
Tips for a smooth order
- Choose the label size according to where it will be placed and check it on a real item.
- Avoid very thin lines and very small text on woven and leather labels.
- Order all the labels for a collection together, so they match in colour and width.
- Check the mock-up carefully – the text you approve is produced exactly as shown.
